Fair and transparent refund procedures for all payments

All payments made through adhithyan.dev are voluntary contributions associated with college events, initiatives, and educational activities. This policy outlines our fair and transparent approach to handling refund requests.

1 Nature of Payments

Understanding the nature of payments on our platform is crucial for refund eligibility:

  • Voluntary Contributions: All payments are voluntary and support educational initiatives
  • Event Participation: Payments may be associated with college events, workshops, or activities
  • Not Commercial Purchases: These are not purchases of goods or traditional commercial services
  • Educational Support: Funds contribute to the AJCE BCA 2028 ecosystem and student activities
  • Community Building: Payments help maintain and improve platform services for all users

Your contributions directly support student initiatives, technology improvements, and educational resources within the AJCE BCA community.

2 Refund Eligibility Criteria

To be eligible for a refund, your request must meet the following criteria:

24 Hours

Time Window

Refund requests must be raised within 24 hours of the original payment timestamp.

  • Technical Issues: Payment processed but service not delivered due to technical problems
  • Duplicate Payments: Accidental multiple payments for the same event or service
  • Unauthorized Transactions: Payments made without account holder consent (with proper verification)
  • Event Cancellation: Official cancellation of events by organizers before the event date
  • System Errors: Payment processing errors or platform malfunctions
Case-by-Case Evaluation

Each refund request is carefully evaluated by our administrators based on the specific circumstances and platform policies. We strive to be fair while maintaining the integrity of our community initiatives.

3 Refund Process & Timeline

Our streamlined refund process ensures quick resolution:

Submit Request

Email admin@adhithyan.dev with payment details, reason for refund, and supporting documentation within 24 hours of payment.

Initial Review

Our team reviews your request within 24-48 hours and may contact you for additional information or clarification.

Decision & Approval

Refund decision communicated via email within 3-5 business days. Approved refunds are processed immediately.

Payment Processing

Approved refunds are returned to the original UPI ID. Razorpay processing may take 1-7 working days depending on your bank.

Refund Method

All approved refunds are processed back to the same UPI ID used for the original payment. We cannot process refunds to different accounts for security reasons.

4 Processing Fees & Charges

Important information about fees and charges:

  • Platform Fees: We do not charge any additional fees for processing refunds
  • Gateway Charges: Payment gateway processing fees (if any) are non-refundable
  • Bank Charges: Any bank charges during refund processing are borne by the payment gateway
  • Currency Conversion: Not applicable as all transactions are in Indian Rupees (INR)
Fee Structure

Most refunds are processed at 100% of the original amount. Any gateway fees deducted are minimal and clearly communicated during the refund process.

5 Non-Refundable Scenarios

The following scenarios typically do not qualify for refunds:

Non-Refundable Cases
  • Late Requests: Refund claims made after the 24-hour window
  • Wrong Account: Payments made from unintended UPI accounts (user error)
  • Event Attendance: Payments for events already attended or participated in
  • Change of Mind: Refunds requested simply due to change of mind without valid reason
  • Account Suspension: Users with suspended or terminated accounts
  • Policy Violations: Payments associated with terms of service violations
Exceptional Cases

While these scenarios typically don't qualify for refunds, we may consider exceptional circumstances on a case-by-case basis, especially for technical issues or genuine hardships.

6 Required Documentation

To process your refund request efficiently, please provide:

  • Transaction ID: Payment reference number from Razorpay or UPI app
  • Payment Screenshot: Clear image of payment confirmation
  • Account Details: Your adhithyan.dev username and registered email
  • Reason for Refund: Detailed explanation of why refund is requested
  • Supporting Evidence: Any additional documentation supporting your claim
  • Contact Information: Alternative contact method if email is unavailable

7 Appeals Process

If your refund request is denied, you have the right to appeal:

  • Appeal Window: You can appeal within 7 days of the denial notification
  • Additional Evidence: Provide any new evidence or documentation
  • Review Process: Appeals are reviewed by senior administrators
  • Final Decision: Appeal decisions are considered final
